Multi-Level Password Protection: DonorQuest maintains an account
for each person who will be using the program. Each user may be given
different "rights" within the program. For example, a particular user
may be given the right to add new donations, but not to view sensitive
information about donors -- such as their donation histories.
Donor Data Import/Export: Donor information may be
imported/exported from/to ASCII files. This is convenient if you have
your mailing labels printed out of house, or you wish to bring donor
data from another program into DonorQuest.
Contact Manager: The DonorQuest contact manager allows you to
schedule donor telephone contacts for yourself. Each day when you start
DonorQuest, you will be reminded if you have scheduled contacts for
today. You will also be shown a count of the number of open (unresolved)
contacts from the past. At anytime you may view a chronological listing
of all the contacts you have scheduled, and the donor account associated
with each. As you work your way through the donor contacts scheduled for
today, you are able to enter detailed notes about the outcome of the
contact using a word processor-like window. You may then close the
contact, or leave it open and schedule it to trigger again sometime in
the future. Each user's contacts are kept separate from the contacts of
other users. This allows DonorQuest to support any number of "workers"
within your organization, each with their own partition of donors to
solicit. A typical contact event might be as simple as scheduling a
telephone call with a donor at a point in time when he/she said they
would be in a better position to make a substantial pledge.
Duplication Check: DonorQuest allows you to check for duplicate
names and addresses, and even gives you control over how "sensitive" it
is in selecting potential duplicate accounts. Suspected duplicate
accounts may be printed using any of the available report formats.
Although DonorQuest will not add an exact duplicate record (unless
directed to), a misspelled name can cause duplicates. Also, duplicate
names may be introduced if you import data from another program.
Auto-Entry of City and State: When adding a new donor account,
DonorQuest will automatically enter the city and state after you enter
the zip code.
Multiple Export Field Lists: If you do a lot of exporting from
DonorQuest, then you'll really appreciate this feature. DonorQuest
allows you to maintain any number of export field lists. Now you can
maintain separate export field lists for all of your export needs. For
example, you may use one field list for mail merging, another for
sending information to a mail house, and yet another for creating a
Zip+4 and Carrier Route processing file.
On-Screen Duplicate Donor Consolidation: In addition to finding
and reporting suspected duplicate donor accounts, DonorQuest allows you
to easily merge together the histories of duplicate donors. After
running a duplicate donor check, DonorQuest will create a selection of
suspected duplicate donor records. While viewing the selection on your
screen, you are able to confirm suspected duplicate donors, highlight
their names, and have DonorQuest automatically consolidate their
histories into a single donor account. Cleaning up your mailing list has
never been easier! You may also use this feature to move specific
donations, pledges, memos, etc. from one donor account to another
without having to reenter them.
Multiple Matching Gift Donors: In DonorQuest you have more than
one matching gift donor for each donor. That is, you may now set it up
so that a single donor could generate two or more matching gifts each
time the donor gives. For example, both the employer and a friend of a
specific donor could be setup to match any gift the donor gives. The
percentage of matching gift can also be set individually for the
employer and the friend. Matching gifts become pledges, which must then
be paid off by the matching gift donor. These matching gift pledges will
then be included in the Pledge payment reminder statements which are
automatically created by DonorQuest.
Soft Donations: Soft donation credit may be given to a donor for
stimulating the giving of another donor. For example, let's say the John
Smith lobbied IBM corporation for a gift of $1,000 which IBM gave. The
$1,000 would go into IBM's history, and a soft credit for $1,000 would
go into John Smith's history. Because the $1,000 in John Smith's history
is "soft", it is not included in his actual cash totals. However, it is
on record. For specific selections and reports, you may tell DonorQuest
whether or not to consider soft credits. Whenever you choose to consider
soft credits during a selection or report, it will be as though John
Smith had actually given you $1000, in addition to any actual "hard"
donations he has.
Automatic Thank-You Letters: As you are entering a donation, you
may specify which thank-you letter to use to acknowledge the gift. When
you run the General Ledger report, DonorQuest will automatically create
the mail merge files your word processor needs to print the
corresponding thank-you letters. You may configure DonorQuest to use any
number of form letters, and each form letter may use any of the data
fields available in DonorQuest (donor name, address, donation date,
donation amount, etc.).
Sweeping List Code Addition/Replacement: In addition to
associating specific donors to one or more mailing lists on an
individual basis, you may also assign mailing list codes to donors based
on any condition you wish. This sweeping list assignment action can save
many hours of data entry time that would otherwise be spent assigning
donors to lists one at a time.
Auto-Segmentation: DonorQuest has the ability to automatically
segment your donorbase using conditions defined by you. DonorQuest
accomplishes this by actually making code field entries for you
automatically based on conditions you have previously defined. For
example, if you wish to use the Rank code field to segment donors into
giving categories, you could use this feature to automate the process.
In our example, lets say we have three giving categories, which we will
call "A", "B", and "C", defined as follows:
- A: Donors who gave between $5,000 and up for the past 5 years.
- B: Donors who gave between $2,000 and $4,999.99 for the past 5
years.
- C: Donors who gave between $1,000 and $1,999.99 for the past 5
years.

In addition, each donor account may have an unlimited number of:
- Donations -- Including cash, in-kind, and soft credits,
donations are stored in complete detail indefinitely.
On-going totals for all campaigns are available with the
push of a button, and serialized donation receipt/thank you
letters are automatic!
- Pledges -- Designed to be linked with incoming
donations, DonorQuest will track an unlimited number of
pledges for each donor, providing reports and reminder
statements which include the outstanding balance of each
pledge.
- Memos -- Each donor's record may have an unlimited
number of special memo "notes" associated with it. Memos are
used to store personal details about each donor. They may
contain any information you wish to type, and DonorQuest is
able to search/select based on key words within the text.
- Extra Addresses -- Allows each donor account to have
additional address information, such as a work address,
and/or summer address.
- Linkages -- Allows each donor account to be linked in
specific ways to any number of other donor accounts. This
allows you to set up relationships between family members or
other related groups of donors. Reports can be printed
showing these relationships, and the total giving across the
entire group. Matching gift donors are also supported.
Search By Partial Names: You may enter partial names to
search by -- for example, if searching for a donor named "James
Fitswatterman", you may enter "Fits" for the Last Name and "Ja"
for the First.
Phonetic Searching: If you misspell a name, chances are
DonorQuest will catch your mistake, and offer you a menu of
names which "sound" similar to the one you typed.
Search and Replace: DonorQuest has the ability to search
your database, updating data values for specific donors. This
can save hours of tedious data entry work when making a uniform
change across many donor accounts.
Pop-Up Code Table Menus: Many fields within the DonorQuest
program are coded fields. These codes are completely defined by
you, and are used to track standard information about each donor
account. During data entry, all coded fields are supported by a
pop-up menu which allows you to choose from the codes which
apply to the field you are editing.
Linkages Between Donors: Any donor may be linked to any
number of other donors. Any type of relationship may be created,
including familial, employer-employee, etc. And, while viewing a
particular donor's record, you may freely jump to the record of
any related donor. The entire "web" of donor relationships may
be traversed in this fashion, allowing you to explore indirect
relationships between donors. For example, the brother of one of
your best donors may be married to a very influential public
official, who may be willing to promote your organization. This
indirect relationship is something you might never have known
without cruising the web of your donor linkages in DonorQuest!
Notepad Feature in Donor History: You may enter free-form
notes about each donor in paragraph form. The notepad feature
lets you enter many paragraphs of text about each donor in a
word processor-like window which does automatic paragraph
formatting. The full text of all notepad entries across all
donors is available for keyword searches during selections, and
you can also include each donor's notepad text on any report.

On-Going Campaign Statistics at a Glance
User-Defined Reports: As an addition to the
standard reports provided with DonorQuest, you are able
to define your own reports to get exactly the
information you need.
Import and Export of Report Definitions: In
addition to allowing you to define your own reports,
DonorQuest allows you to import new reports from
diskette. This means that you can have special reports
created for your organization, and mailed to you on
diskette, or sent over the telephone via modem. This
feature also enables you to freely exchange reports with
other organizations using DonorQuest.
Bulk Mail Reports: In addition to printing your
mailing labels, DonorQuest will print zip code count
reports showing how many 5-digit, 3-digit, and state
bundles you have for a given mailing.
Previewing of Report Data: DonorQuest allows you
to view the data of a report on your screen before
actually printing the report.
Pledge Payment Reminders: Included with
DonorQuest are pledge payment reminder reports. The
pledge payment reminder reports will enable you to print
automatic reminder statements to send to your donors on
a regular basis to remind them about their outstanding
pledges. Separate reports enable you to process monthly,
quarterly, semester, and annual pledge payments. Each
statement shows how much a donor has paid towards each
of his/her pledges, the total amount of each pledge, and
a suggested minimum payment.
Automatic Thank-You Letters: As you are entering
a donation, you may specify which thank-you letter to
use to acknowledge the gift. When you run the General
Ledger report, DonorQuest will automatically create the
mail merge files your word processor needs to print the
corresponding thank-you letters. You may configure
DonorQuest to use any number of form letters, and each
form letter may use any of the data fields available in
DonorQuest (donor name, address, donation date, donation
amount, etc.).
On-Going Campaign Statistics at a Glance: You can
get on-screen campaign statistics for a specific
campaign. Displayed information for the selected
campaign includes:
- The first donation of the campaign with
corresponding donor name
- The latest donation entered for the campaign
with corresponding donor name
- The largest donation entered for the campaign
with corresponding donor name
- The total for each type of gift received to date
- The average gift amount across all gift types
- The total gift amount across all gift types
- The total of all amounts for each type of pledge
- The total of all pledge amounts
- The average pledge amount
- The total of all pledge payments thus far
- The total of outstanding pledge amounts
- The total committed thus far (donations+pledges)
- The percent of goal achieved thus far
